Onboarding at Agapic

All onboarding steps are outlined below. The onboarding process for the new team member is self-driven, while also remaining as asynchronous as possible, settling new team members into the remote life at Agapic.

New Team Members

The First Fourteen Days

This page consists of a series of tasks which should be completed over the course of your first fourteen days at Agapic.

Getting Started

Communication

  1. Propose the following to your manager:
    1. Your Agapic email address (typically firstname@agapic.com).
    2. Your preferred cadence for your 1-1s.
  2. You should receive an email with steps to access your Google account.
  3. Install 1Password. Agapic provides team members with an account to 1Password. Team members may use 1Password for shared notes and some shared accounts. 1Password is available as a standalone application, and as a browser extension.
    1. The 1Password invitation email will be in your Agapic email inbox, please search for it and accept the invitation.
    2. Install the 1Password app or browser extension on your computer, and link it to your team (Agapic company) account, as described on 1Password Team members: Get started with 1Password page. Please let your manager know if you need any assistance.
    3. Read 1Password’s getting started guides to understand its functionality.
    4. Ensure that your 1Password master key is unique and random. Start learning it!
    5. Before saving passwords in 1Password, remember to save your passwords in your Private vault (only accessible to you) rather than a shared vault (accessible to others at Agapic).
  4. Set up 2FA for your Google account.
    1. 1Password works as an authenticator for all your one-time passwords and two-factor authentication codes.
    2. Agapic requires you to enable 2FA (Two-Factor Authentication, also known as 2-Step Verification) for your Agapic accounts (Google, Slack, etc.) because 2FA adds an extra layer of security to your account. You sign in with something you know (your password) and something you have (a code you can copy from your device). If you have problems setting up 2FA, just let your manager know.
  5. After you get access to your Agapic email, sign up to Agapic’s Slack workspace using your @agapic.com email address.
  6. You should receive an email at your @agapic.com address inviting you to Agapic on GitHub. Follow the instructions to join us on GitHub.
  7. You should receive an email at your @agapic.com address inviting you to Agapic on Figma. Follow the instructions to join us on Figma.
  8. Set your working hours & availability in your Google Calendar.

About You

  1. Submit your headshot and a brief biography using this form. Your headshot and bio will be used to introduce you to Agapic team members, external partners to Agapic, etc.

Remote Working and our Values

Remote Work

  1. The first month at a remote company can be hard. There is as much to unlearn as there is to learn. Particularly if you’re new to working in a 100% remote environment, read over our All-Remote Work section of the Handbook.

Values

  1. Agapic values are a living document. As a values-driven organization, our values are the basis for our actions. Familiarize yourself with our Values page.

The Handbook

  1. Effective all-remote companies, such as Gitlab, take a handbook-first approach to documentation. Take some time to review Agapic’s Handbook, including any sections you are not already familiar with.

Social

  1. Schedule Zoom calls in your first two weeks for 30 mins with different colleagues to get to know the Agapic team. Be mindful of scheduling calls with team members in time zones other than your own. These are social coffee chats, so do not need a formal agenda.

Agapic Product

  1. For those new to Agapic, it’s important to get familiar with our product. Sign up and start using Agapic.
  2. After using our product for two weeks, share your thoughts with the team in GitHub.

Your Role

  1. Spend time doing your tasks specific to your Role.

Onboarding Review

  1. Provide feedback on your onboarding experience using this form.

Manager Tasks

  1. Log on to the Google Admin console and add the new team member with their proposed Agapic email address, assuming no conflict with a current account.
  2. Send an invite to Agapic’s 1Password account to the new team member’s Agapic email address.
  3. Send an invite to Agapic’s GitHub organization to the new team member’s Agapic email address.
  4. Send an invite to Agapic’s Figma team to the new team member’s Agapic email address.
  5. Add the new team member’s photo to their Google Workspace profile.
  6. Add new user as a Manager to the Agapic Unfiltered YouTube account by clicking “Manage Permissions” and entering their Agapic email address.
